The Benefits of Fractional Relationships for Propane Marketers
The work you do now, in the quiet months, decides how the busy ones go.
Every year, it happens the same way. Late summer is manageable, there’s time to think, and then the first cold snap hits and everything you meant to get to gets buried under the day-to-day work of keeping up.
Busy season doesn’t leave room to fix things. It only leaves room to run. The propane marketers who come out of the winter ahead are usually the ones who did the preparation before the season started, not during it.
That preparation has two halves. The first is whether new customers can find you and choose you when they go looking. The second is whether your operation can handle the volume smoothly once they do. We work with two partners who each own one of those halves, and this is the time of year their work matters most.
Half One: Getting Found and Getting Chosen
Late summer and early fall are when propane customers start making decisions. Some are new to an area and looking for a company for the first time. Some are quietly shopping for a replacement before the cold sets in. Either way, they almost always start the same place: a search.
So the question is simple: does your company show up when they do? If a homeowner three towns over searches for propane delivery and your competitors appear while you don’t, that customer was out there and you never knew they existed. Showing up in local search isn’t about having the flashiest website. It’s about being present and findable at the exact moment someone is deciding.
And when they find you, they look closer. They read what other customers have said and make a quick judgment based on whether your business looks active, trustworthy, and worth calling. That impression is either working in your favor or against you, whether you’re paying attention to it or not.
Then there are the customers you already have. Busy season is also switching season, and the marketers who lose customers in the winter often lose them to a competitor who simply stayed more visible through the fall. Staying in front of your existing customers with consistent email and social content reminds the people who already pay you that you’re there, you’re active, and they made the right choice. A customer who hears from you regularly is much harder for someone else to pull away.
This is the work Savannah River Marketing does for propane companies: helping independent marketers get found when customers are searching, look credible when those customers take a closer look, and stay in front of their existing base so the relationships hold through the season.
Half Two: Getting the Busywork Out
Getting the phone to ring only helps if your operation can absorb the volume without drowning in it. That’s the half most companies feel the hard way somewhere around the second week of a cold snap.
Here’s a common problem many smaller propane marketers run into: when a new customer signs up through your website, someone in the office may have to manually enter that information into an accounting system such as QuickBooks. When a payment comes in, someone may have to process it manually. When a customer wants propane, they may call, and someone has to write down the request and enter it into the system. None of these tasks are necessarily difficult. They’re just repetitive, and they pile up at exactly the moment your people have the least time to spare.
Smaller propane marketers don’t have large IT departments, and when heating season arrives, your employees need to be taking care of customers, not entering the same information into three different systems.
This is what LPG Integrators does. Damon Carrasco spent more than twenty years leading IT inside a major propane organization before shifting his focus to working directly with independents. His approach isn’t about ripping out everything you use and starting over. It’s about getting the systems you already have to talk to each other: connecting website signups directly to QuickBooks so nobody re-enters anything, letting customers pay online in a way that flows straight into your accounting, and giving customers a way to request a delivery through your website at any hour, so your staff isn’t fielding one more call during a cold snap. The goal is simple: less manual work and better service when it matters most.
Two Halves of the Same Goal
One partner makes sure customers find you and stay with you. The other makes sure the operation is ready to handle that customer when they do. And the reason we’re raising it now is simple: this is the window where preparation is still possible. In two months, there won’t be time to think about search visibility or system integrations. There will only be time to keep up.
If either side of this sounds like something your operation has been putting off, now is a good time to take a look. Savannah River Marketing can help with the marketing side, while LPG Integrators can help with the operations and technology side. Both understand the propane industry and the demands that come with this season. And if you’re not sure where your operation stands heading into the season, that’s a conversation Brian and Justin have every day. Reach out to 1075 Consulting and we’ll help you figure out where to start.
Get ready before the phones start ringing. Your future self, somewhere in the middle of a January cold snap, will be glad you did.
